Job Title:        Sales Coordinator

Reports To:    Customer Service Manager

Department:  Customer Service                                                     

FLSA Status:  Non-Exempt (Mon-Fri – 8:00AM – 5:00PM)



General Purpose of Position:

Respond to all customer telephone inquiries.  Take customer requests and convert to “orders” for company.  Act as intermediary between customer and internal functions of sales, estimating, purchasing, engineering, etc.  Maintain responsibility for reviewing, accepting, documenting and following the efficient handling of selected purchase orders/contracts.


Major Responsibilities:

  1. Answer incoming calls, advise order status, check inventory availability, proof of delivery and enter sample requests
  2. Offer alternative products based on thorough product knowledge
  3. Investigate customer complaints of order errors, write credits or return of material authorizations
  4. Provide price and freight quotations, technical information and drawings
  5. Interact with RSM’s, outside sales reps and customers to obtain information relative to quote status and negotiation opportunities
  6. Enter orders and prepare submittals as necessary
  7. Filing of records
  8. Manage backlog report
  9. All other duties as assigned

Strong verbal and written skills

Strong math skills to include percentages, fractions and calculate square footage

Good communication and phone skills

Good typing skills and computer knowledge

Must be able to provide excellent customer service and work in a multi-task, fast paced environment

Minimum Qualifications:

Education:  High School/Associates Degree

Previous experience in customer service/sales preferred

Background in construction industry helpful




Pawling Job Description

Job Title:       Autocad Drafter

Reports To:    Operations Manager

Department:  Engineering                                                     

FLSA Status:  Non-Exempt (Mon-Fri – 8:00AM – 5:00PM)



General Purpose of Position:

To ensure that products provide a high level of quality that meets customer expectation. Provide a leadership role in Quality Assurance to ensure that all products meet standards prior to shipment. Produce drawings that detail job requirements for customer approval and fabrication drawings for use in Manufacturing.


Major Responsibilities:

  • Handle all activities associated with the quality assurance function of APD.
  • Document, coordinate and implement calibration procedures for measurement and test equipment.
  • Effectively handle customer complaints of a quality nature with input from sales including meeting with customers as needed to discuss quality related issues.
  • Coordinate and implement color matching and color control processes for Rigid Plastics Extrusion including color measurement activities for raw materials and finished products.
  • Record results and maintain accurate written and computerized inspection records as required.
  • May specialize in areas of quality control engineering, such as design, incoming material, process control, product evaluation and product reliability.


Knowledge, Skills and Abilities:

Working experience in AutoCAD Release 2012 or higher

Decision making ability coupled with the ability to work independently and proactively

Ability to interpret manufacturing documents including engineering drawings, specifications and work orders

Sound mathematical and technical skills

Good investigative and problem-solving skills with excellent attention to detail

Ability to think logically and methodically

Good interpersonal skills and organizational skills

Working knowledge of blueprint reading

Pawling Job Description

Job Title:        Estimating Coordinator

Reports To:    Estimating Sales Manager                                      

Department:  Estimating

FLSA Status: Non-Exempt (Mon-Fri 8:00AM – 5:00PM)


General Purpose of Position:

Monitor incoming bid requests daily and determine which projects will be scheduled for take-off by the Estimating Department. Review specs, plans, and finish schedule and select takeoffs daily. Conduct quote follow-up via phone and email contact with sales representatives and contractors.


Major Responsibilities:

  1. Conduct daily searches of on-line construction subscription service to find all projects, in both bidding and planning stages, containing material Pawling provides.
  2. Monitor the bid box and schedule takeoffs daily. Email daily takeoff reports to internal Pawling employees.
  1. Follow up with sales representatives and contractors on all takeoff quotes and large quotes. Obtain information relative to quote status and negotiation opportunities.
  1. Review and respond appropriately to all “Invitations to Bid” received from outside sources.
  1. Circulate bid information to sales representatives and communicate directly with contractors regarding bid opportunities. Solicit quote requests for projects where Pawling is not doing a takeoff.
  2. Maintain an up-to-date and accurate database of all projects (bidding and planning stage) as well as information on takeoffs, quotes and other data as required. Confirm online, by email, or phone with contractors if we are or are not bidding a project.
  3. Prepare project quotes for take-offs and customer quote requests, including pricing and database entry.
  4. Consult with management to finalize pricing on large projects.
  5. Interact with sales managers, outside sales representatives and customers to provide accurate project information and cooperate with internal departments to ensure timely and accurate quote turnaround.
  6. Provide support and back up to the Estimating & Sales Coordinator when needed.
  7. All other duties as assigned
