Pawling Job Description

Job Title:        Estimating Project Manager                               

Reports To:    Estimating Sales Manager                                                  

Department:  Estimating                                                                 

FLSA Status: Non-Exempt             

General Purpose of Position:

Prepare quotations of Pawling products from written specifications and electronic plans.  Coordinate customer order requirements on layout jobs to ensure accuracy of product shipment.


Major Responsibilities:

1. Prepare take-offs and pricing of all Pawling products (wall protection, entrance matting etc) within the required time frame

2. Prepare project bids and work with Sales to finalize pricing on large projects.

3. Work with Sales to ensure bids are forwarded to all necessary customer reps.

Produce final product requirements list for order entry/customer service department

1. Maintain up-to-date database of ongoing projects to ensure timely bids, to keep track of products and manufacturers specified, and to keep track of quoted dollars and number of jobs quoted.

2. Review and process project addendum(s) as required and keep project files up-to-date accordingly

3. Prepare requests for substitution on jobs where Pawling is not a specified supplier or as assigned

4. Work with Engineering and Customer Service to ensure timely and accurate order turnaround.

5. Maintain a comprehensive product knowledge

6. All other duties as assigned



Knowledge, Skills and Abilities:

Auto CAD

Working knowledge of architectural plans

Knowledge of construction industry

Superior computer skills to include file transferring, copying, moving and directory/file management

Microsoft Office

Detail oriented

Able to multi-task and communicate effectively

Good organizational skills


Minimum Qualifications:

Education:  High School


Other experience:

 2-year technical school or some college preferred

 Auto CAD experience preferred




Pawling Job Description 

Job Title:     Assistant Controller                                   

Reports To: CFO                                        

Department: Accounting                                   

FLSA Status: Exempt ­­­­­­­­­­­­­­­­­­­­­_______________________________________________________________________________________ 

General Purpose of Position:

Work within the Finance Department and ensure accurate, consistent and timely financial reporting. Work in conjunction with CFO and Department Managers to achieve corporate profit goals. 


Major Responsibilities:

1.  Provide timely and accurate analysis of budgets, financial trends and forecasts

2.  Prepare for review with the CFO monthly profit and loss statements and associated schedules and journal entries

3.  Responsible for the integrity of the General Ledger

4.  Prepare profit plan operating forecasts and departmental budgets

5.  Monitor inventory levels including scrap, cycle counts, purchasing and obsolescence to ensure proper inventory control

6.  Prepare overhead rate schedules and periodic studies

7.  Periodic meetings to interpret/explain financial results – work with division heads in monitoring and controlling expenses in line with annual targets.

8.  Establish and maintain strong relationships with department managers to identify their needs and provide direction and assistance regarding accounting and budgeting policies and procedures and efficient control and utilization of financial resources

9.  Prepare and implement policies and procedures to identify, resolve and document accounting issues in addition to creating procedures to make the close and reporting more efficient and accurate

10. Assist with the year-end audit review process as well as tax compliance filings throughout the year

11. Compile all information required for statutory reporting, sales tax compliance and census bureau reporting


Knowledge, Skills and Abilities:

·       Excellent knowledge of standard cost system, construction accounting, balance sheet, cash flow and profit and loss statements

·       Strong analytical ability

·       Excellent understanding of cost accounting principles

·       Must be able to identify complex problems and related information to develop and evaluate options and implement solutions

·       Must be organized, accurate and adaptable

·       Excellent knowledge of spreadsheet and graphic computer programs

·       Must possess high degree of judgment and independent thinking

·       Ability to keep confidential information

·       Good communication and presentation skills

·       Excellent math skills


Minimum Qualifications:

Education:   Bachelor’s Degree in Accounting or Finance


Previous experience in a manufacturing/construction environment is a PLUS
