ESTIMATOR – ARCHITECHURAL BUILDING PRODUCTS

Pawling Corporation manufactures and supplies architectural building products to hospitals, laboratories, schools and other facilities across the US, Canada and throughout the world. Located in Wassaic, New York between White Plains and Poughkeepsie and on the boarder of Southwest Connecticut we are a third generation family enterprise since 1945. Job Responsibilities:

Interprets product requirements from architectural drawings or written specs. Prepares bids based upon drawing specifications, material, labor and finished costs.  Corresponds with field sales representatives, architects, contractors, and Customer Service personnel in preparation of sales bids.

Corresponds and contacts sales reps to obtain missing info, recommends change or substitution to improve cost, delivery, or product.
Interacts with sales reps and C/S personnel to provide accurate bidding.
Assists in providing details for order entry, drafting, production and layout of orders received.
Works from drawings, bid forms, verbal and written requests to make complete bid.
Strong geometric mathematical background.
Excellent communication skills both written and oral.
Proficient and literate in a Windows environment (Excel, Word).

INSIDE SALES COORDINATOR-CUSTOMER SERVICE

 

General Purpose of Position:

Respond to all customer telephone inquiries.  Take customer requests and convert to “orders” for company.  Act as intermediary between customer and internal functions of sales, estimating, purchasing, engineering, etc.  Maintain responsibility for reviewing, accepting, documenting and following the efficient handling of selected purchase orders/contracts.

 

Major Responsibilities:

  1. Answer incoming calls, advise order status, check inventory availability, proof of delivery and enter sample requests
  2. Offer alternative products based on thorough product knowledge
  3. Investigate customer complaints of order errors, write credits or return of material authorizations
  4. Provide price and freight quotations, technical information and drawings
  5. Interact with RSM’s, outside sales reps and customers to obtain information relative to quote status and negotiation opportunities
  6. Enter orders and prepare submittals as necessary
  7. Filing of records
  8. Manage backlog report

 

Knowledge, Skills and Abilities:

Strong verbal and written skills

Strong math skills to include percentages, fractions and calculate square footage

Good communication and phone skills

Good typing skills and computer knowledge in Microsoft Office

Must be able to provide excellent customer service and work in a multi-task, fast paced environment

Good negotiation skills

Minimum Qualifications:

Education: High School Degree a must/Associates Degree Preferred 

Previous experience in customer service/sales preferred

Job Title:       Receptionist/Administrative Clerk                    

Reports To:    Customer Service Manager

FLSA Status:  Non-Exempt (Full-Time, Mon-Fri 8:00 AM-5:00 PM)

 

 

General Purpose of Position:

Manage switchboard, direct all calls, receive visitors and support customer service.

 

Major Responsibilities:

  1. Answer all incoming calls and direct to appropriate party
  2. Manage customer service call lines by directing calls, monitoring calls waiting, taking messages, and generating call line reports
  3. Greet and accommodate visitors
  4. Distribute messages and maintain calling schedule of office personnel
  5. Proofing invoices and new orders
  6. Receive, send and deliver faxes (track acknowledgements, invoices, credits, etc.)
  7. Scan pick tickets and work orders for electronic filing
  8. Filing of purchase orders and miscellaneous documents in Customer Service
  9. Order supplies for kitchen and cafeteria, including water, coffee, etc.
  10. Contact person for vending machine issues
  11. All other duties as assigned

Job Title:        Estimating Coordinator                                          

Reports To:    Inside Technical Sales Manager                                         

Department:  Estimating                                                                 

FLSA Status: Non-Exempt

 

General Purpose of Position:

Produce material take-offs for new construction projects.  Prepare written quotations for take-offs and other quote requests.  Conduct quote follow-up via phone contact with sales representatives and contractors.

 

Major Responsibilities:

  1. Conduct daily searches of on-line construction subscription service to find all projects, in both bidding and planning stages, containing material Pawling provides.  Determine, in conjunction with Estimating Supervisor, which projects will be slated for take-off by the Estimating Department.
  2. Compile daily lists of bidding and planning stage projects found on a region-by-region basis and disseminate to field sales representatives.
  3. Maintain an up-to-date and accurate database of all projects (bidding and planning stage) as well as information on takeoffs, quotes and other information as required.
  4. Download project plans and specifications from on-line sources.
  5. Design and generate informational reports from project database in support of management’s needs for historical data and trend analysis as well as reports to demonstrate adherence to Sales Services policies and procedures.
  6. Prepare project quotes for take-offs and customer quote requests, including pricing and database entry.
  7. Consult with management to finalize pricing on large projects.
  8. Match quotes generated in internal quote system to projects found in daily searches and entering information into database.
  9. Interact with field sales managers, outside sales representatives and customers to provide accurate project information and facilitate implementation of Sales Services Program policies and procedures as well as support and interface with internal departments to ensure timely and accurate order and quote turnaround.
  10. Review and respond appropriately to all “invitation to Bids” received from outside sources
  11. All other duties as assigned
