Pawling Job Description

Job Title:        Estimating Project Manager                               

Reports To:    Estimating Sales Manager                                                  

Department:  Estimating                                                                 

FLSA Status: Non-Exempt             

General Purpose of Position:

Prepare quotations of Pawling products from written specifications and electronic plans.  Coordinate customer order requirements on layout jobs to ensure accuracy of product shipment.


Major Responsibilities:

1. Prepare take-offs and pricing of all Pawling products (wall protection, entrance matting etc) within the required time frame

2. Prepare project bids and work with Sales to finalize pricing on large projects.

3. Work with Sales to ensure bids are forwarded to all necessary customer reps.

Produce final product requirements list for order entry/customer service department

1. Maintain up-to-date database of ongoing projects to ensure timely bids, to keep track of products and manufacturers specified, and to keep track of quoted dollars and number of jobs quoted.

2. Review and process project addendum(s) as required and keep project files up-to-date accordingly

3. Prepare requests for substitution on jobs where Pawling is not a specified supplier or as assigned

4. Work with Engineering and Customer Service to ensure timely and accurate order turnaround.

5. Maintain a comprehensive product knowledge

6. All other duties as assigned



Knowledge, Skills and Abilities:

Auto CAD

Working knowledge of architectural plans

Knowledge of construction industry

Superior computer skills to include file transferring, copying, moving and directory/file management

Microsoft Office

Detail oriented

Able to multi-task and communicate effectively

Good organizational skills


Minimum Qualifications:

Education:  High School


Other experience:

 2-year technical school or some college preferred

 Auto CAD experience preferred





Hourly – Mon-Fri – 7:00 AM – 3:30 PM


General Purpose of Position:

To complete all orders to meet our required ship date that may include fabrication and modification of orders to include assembling, drilling, cutting, pick and packing, Press-Brake, Steri-guard, Vacuum forming/mold making and Vinyl radius bends

Major Responsibilities:

Read engineering and manufacturing documents (work orders) to determine the correct manufacturing process, tooling required as well as what material is to be used.

Operate the necessary power tools/machinery to complete assigned task

Work closely with the Production Manager to complete all required work on or ahead of schedule

Receive all completed work orders into the AS400, including all the necessary screens to make inventory adjustments.

Accurately complete all necessary paperwork and documentation associated with each order.

Maintain a high level of quality associated with all work in progress

Put away material while maintaining a clean safe work area

Follow all company safety policies and procedures

All other duties as assigned


Knowledge, Skills and Abilities:

Ability to read and write English

Ability to use required measuring equipment/calipers to the 1/16th of an inch

Good math skills, including the ability to work with decimals, fractions, weights and percentages

Strong hand/power tool skills

Ability to read shop drawings, engineering documentation and blueprints

Ability to obtain a fork truck license

Shipping Department – Hourly - Mon – Fri – 8:00 AM – 5:00 PM                               


General Purpose of Position:


Ensure all completed domestic and export outbound orders are accurately quoted for freight rates, scheduled for pick-up, processed and shipped in time to meet customer delivery requirements. Ensure all shipping documentation is prepared and provided per carrier/DOT regulations. Assist customer service with shipping and freight rate questions and concerns.


The Traffic Coordinator ensures pick-ups are scheduled, communicated and completed for export, consolidated, and truck shipments and that the processes of picking, shipping, and invoicing Shippers with all applicable shipping documents are performed daily.

 Major Responsibilities:

 1.Routing and rating completed orders including preparation of required shipping documents.


2.Pick, ship and invoice all complete Shippers on HFA daily. Invoice Drop Shipment orders as requested by Purchasing.

3.Arrange carriers and pick-up for shipment of overseas/export orders to include limited banking aspects of such orders and prepare all Export shipping documents such as certificates of origin, commercial invoices, etc.

4.Arrange carriers and pick-up for all orders going via truck. Maintain pick-up schedules for UPS, Fed-Ex and carriers that pick-up freight on a daily or routine basis.

5.Arrange for shipment of Consolidated Shippers weekly and daily by customer/carrier and communicate requirements for consolidated shipments to production and/or sales.

6.Obtain and communicate freight quotes as requested.

7.Obtain Proof of Delivery confirmation as requested.

8.Review questionable freight bills paid by transportation bureau for accuracy, and report any concerns or freight charges for adjustment to the QA, Shipping & Receiving Manager for investigation.

9.Prepare debit/credit transaction requests for freight shipped and delivered.


10.Prepare, revise, update and maintain current files of NAFTA agreements for Canada and Mexico as required

11.Notify Manager of any problems or concerns in completing work assignments or in scheduling, processing, or shipping of products per procedures.

12.Provide assistance to Customer Service and Sales for shipping and freight questions and concerns and work with the Manager to develop and maintain freight representative and carrier relations.

13.Serve as Back up for the Shipping Coordinator.

14.Maintain a safe and clean work area.


15.Other duties as required and assigned.
